Booth Setup
- When all fees have been paid and forms filed with the 3i SHOW Office, exhibitors may set up using the following guidelines:
- Setup Dates:
- Monday, March 11, 2024, from 7 a.m. – 7 p.m.
- Exhibitors who need to move in prior to this date, please contact the 3i SHOW Office to make arrangements.
- Tables and chairs are NOT furnished. Table/chair rentals for the 3i SHOW are provided by Gerken Rent-All. Exhibitors can furnish table/chairs themselves.
- ALL EXHIBITS MUST BE SET UP BY 7 P.M. MONDAY, MARCH 11.
- Inside exhibits that require forklifts or other equipment to unload, please report to the North large center overhead door. Learn how to request Unload/Load assistance in the Show Services section.
Booth Teardown
- For the safety of customers attending the show, under no consideration will any portion of an exhibit be allowed to be removed from the grounds before 4 p.m. THURSDAY, March 14.
- ALL inside exhibits must be out of the building by FRIDAY, March 15th by 12:00 PM (Noon).

- The exhibitor will furnish all breaker boxes, fuse boxes, and a 100-foot extension cord for their power requirements

- 220-Volt – $90 per number of hook-ups

Show Services
Unloading and Loading Equipment – Provided by Ford County
- Please complete the unload/load form IN ADVANCE, providing accurate information concerning the weight of your exhibit.
- Forklifts and loaders will be available beginning Monday, March 11. Exhibitors who need to move in with the assistance of forklifts or loaders prior to this date, please contact Chris O’Neal at (620) 227-4588 or the 3i SHOW Office at (620) 227-8082.
- Unload/Load Fees
- $30 for up to 30 minutes
- $25 for each additional/portion of 30 minutes thereafter
- Services will be billed by Ford County

- Tents, tables, chairs, and carpet rentals are available from Gerken Rent-All

Insurance Requirements
Exhibitors are required to have insurance that meets the following criteria on file with the 3i SHOW Office prior to set up:
- Certificate of Insurance with limits of liability of $1,000,000 per occurrence.
- The certificate must name the 3i SHOW and Western Kansas Manufacturers Association as the certificate holder.
- 3i SHOW/Western Kansas Manufacturers Association must be added as additionally insured.
Display Vehicles
The only vehicles allowed on the show grounds during show hours will be display vehicles. DISPLAY VEHICLE PERMITS will be issued in the 3i SHOW Office upon check-in. A form must be completed including the year, make, model and license plate number of the vehicle.
Vehicles must be parked within the contracted exhibit space, and permits must be hanging from the vehicle’s rear view mirror at all times. NO VEHICLES WILL BE ALLOWED IN THE AISLES DURING SHOW HOURS!

Outgoing shipping services are not available at the show. Shipping arrangements leaving the show should be made in advance. Prior to leaving show, exhibitor must ensure all outgoing shipments are packaged, labeled, ready for pickup, and brought into the 3i SHOW Office.

Cancellation Policy
Cancellations after December 1, 2023, subject to a 50% cancellation fee; no refunds after January 1, 2024. ALL refunds subject to a $25 processing fee. The exhibitor will be liable for payments due but not paid at the time of cancellation. If the show is canceled by WKMA, exhibitors are entitled to a full refund.
CONCESSIONS
Completed applications must be submitted with payment by October 1, 2023, and a commitment to participate in the event. Concession placements will be finalized by November 15, 2023. Concession applications must be complete to be considered, INCLUDE PAYMENT, and include a copy of following:
• Complete Menu with Pricing (including 3i SHOW meal special)
• Food Vendor License
• Liability Insurance Certificate
All concessions must be set up by 7 p.m. Monday, March 11, and open for business all show days by 10:30 a.m.; concessions selected to serve breakfast items must be open by 8:30 a.m. Concessions must remain open until the close of the show daily.
